The Cap-Acadie Chamber of Commerce is committed to maintaining the security, privacy, and confidentiality of personal information communicated to it by stakeholders, including customers and employees. Respect for confidentiality is a core value of the Cap-Acadie Chamber of Commerce, and represents the organization’s commitment to its Board of Directors and partners.
This policy is designed to protect the confidentiality of customers who do business with the organization, and to ensure the fair treatment of personal information required to process financial files. The Cap-Acadie Chamber of Commerce requires its employees, agents, and Board members to adhere to the highest standards of business and personal ethics in the performance of their duties and responsibilities.
We recognize the importance of privacy and the sensitive nature of personal information. It has an obligation to ensure the confidentiality of all customer personal information. Customer privacy is critical and must be protected. Companies engaged in commercial activities must comply with the Personal Information Protection and Electronic Documents Act and the Canadian Standards Association Model Code for the Protection of Personal Information contained in the Act. To ensure that it complies with the Act, the organization has developed this policy, and will be training Board members and staff in its requirements.
In the course of its activities, the Cap-Acadie Chamber of Commerce collects only the personal information that is necessary and relevant. The organization may also use personal information to communicate with third parties and, in doing so, may, occasionally, distribute material concerning its services and developments.
This information is collected only by lawful and fair means and not unreasonably.
Policy Application and Procedure
The Cap-Acadie Chamber of Commerce is responsible for all personal information under its control. The person responsible for the protection of privacy at the Cap-Acadie Chamber of Commerce is the Chief Executive Officer. The Privacy Officer may be contacted by :

Any questions regarding the handling of personal information by the Cap-Acadie Chamber of Commerce should be directed to the Chief Executive Officer (CEO) In cases where the question concerns a request for access, individuals should follow the request process described under “Accuracy and Access to Personal Information Collected.”
Purposes of collection, use, and disclosure of personal information
The purpose for which the Cap-Acadie Chamber of Commerce collects personal information will be identified at or before the time the information is collected. Personal information may be collected for purposes such as:
- administer membership in the Cap-Acadie Chamber of Commerce and provide services to members;
- register for Cap-Acadie Chamber of Commerce events, such as the annual general meeting;
- the purchase of various products or services, including but not limited to document certification or publications; and
- process and administer the above purposes or for other purposes if necessary.
The Cap-Acadie Chamber of Commerce will not use personal information for purposes apart from those identified at or before the time of collection.
Member services
The Cap-Acadie Chamber of Commerce may collect the contact information of its members’ employees in order to:
- send newsletters and other relevant information;
- inform members of upcoming events organized by the Cap-Acadie Chamber of Commerce;
- send invoices and otherwise administer membership in the Cap-Acadie Chamber of Commerce;
These details are provided voluntarily by members of the Cap-Acadie Chamber of Commerce.
Members may, at any time, be removed from the mailing lists of the Cap-Acadie Chamber of Commerce at their request.
Through external merchants, the Cap-Acadie Chamber of Commerce offers various services to its members through programs. Members who have chosen to participate in these programs should refer directly to the privacy policies of the sponsoring companies. The Cap-Acadie Chamber of Commerce does not collect, use or retain any personal information from external programs.
Consent
Cap-Acadie Chamber of Commerce requires consent for all personal information it collects, uses and discloses through information provided to individuals prior to or at the time of collection. For information considered more sensitive, for example, credit card numbers, the Cap-Acadie Chamber of Commerce will ask for a signature as a sign of consent.
If information is provided voluntarily, it is interpreted as consent to the collection, use, and disclosure of personally identifiable information as described in this Privacy Policy. As required by the CSA Model Code, Cap-Acadie Chamber of Commerce will not use personal information for purposes besides those for which consent was provided. If Cap-Acadie Chamber of Commerce requires personal information to be used for a new purpose, consent will be sought for the new use.
Limits on collection, use, disclosure, and retention of personal information
The Cap-Acadie Chamber of Commerce does not collect, use or disclose personal information about individuals, except when individuals give their consent and provide the information on a voluntary basis. There may be occasions when more specific personal information is required in order for the Cap-Acadie Chamber of Commerce to process a request for information or to provide a product or service; for example, in the case of membership or feedback forms. In such cases, the Cap-Acadie Chamber of Commerce will describe the information required. In all such cases, Cap-Acadie Chamber of Commerce limits the amount and type of information collected to that which is necessary to provide the individual with the requested information, product, or service. The Cap-Acadie Chamber of Commerce will only collect information that is voluntarily provided by the individual, and will keep such information strictly confidential.
The Cap-Acadie Chamber of Commerce may disclose personal information that it has collected without the knowledge or consent of the individual, for example, to its lawyers; for purposes related to an investigation under, the enforcement of or the administration of any law or where disclosure is required by law. Cap-Acadie Chamber of Commerce will not use or disclose personal information without the knowledge or consent of the individual except as authorized by applicable law.
Cap-Acadie Chamber of Commerce retains personal information only as long as necessary to provide the individual with the requested product, service, or information. For example, if personal information is provided to register for an event, the personal information will exclusively be used for that event and will then be deleted or destroyed. In some cases, however, legal reporting or retention requirements oblige the Cap-Acadie Chamber of Commerce to retain information for a specific period of time. In general, the Cap-Acadie Chamber of Commerce retains personal information for a maximum period of seven years, in a secure warehouse.
The Cap-Acadie Chamber of Commerce does not sell or exchange any personal information with third parties. Information may be transferred to third parties when the processing of information is subcontracted by the Cap-Acadie Chamber of Commerce as part of its activities or administrative procedures in specific cases. Some personal information collected by the Cap-Acadie Chamber of Commerce is transferred to our service providers for processing and storage. Some of our service providers are located outside of Canada and, as a result, your data may be processed and stored outside of Canada and may be subject to the laws of the jurisdiction in which it is processed or stored. Cap-Acadie Chamber of Commerce requires service providers to comply with this privacy policy. Service providers are prohibited from using or disclosing personal information transferred to them for purposes other than providing services to the Cap-Acadie Chamber of Commerce.
All personal information retained by the Cap-Acadie Chamber of Commerce is kept secure and confidential at all times.

Any questions regarding the handling of personal information by the Cap-Acadie Chamber of Commerce may be raised with the Privacy Officer.

If a request concerns a specific transaction, please indicate the date of the transaction and provide a receipt number, if applicable.
The Cap-Acadie Chamber of Commerce will respond to requests no later than thirty days following receipt of the request, or if it is unable to respond within this period, a notice of extension will be sent.
